Cancellation Policy 

At Purple Carrot Ltd., we understand that things can change. We are committed to making the cancellation process as simple and straightforward as possible. However, our practitioners do spend time preparing for your consult, therefore, we do have a cancellation fee in place. 

Cancellation fees: There will be a fee of 50% of your consultation price if you do not show up for your appointment. There will be a fee of 25% of your consultation price if you cancel within 24 hours of your appointment.

You can cancel your consultation at any time up to 24 hours before the scheduled appointment time and you will not be charged a fee.

Purple Carrot Ltd. is a nutrition and dietetics business that provides services to clients one-on-one and in group settings. Purple Carrot Ltd. values the privacy of individuals and is committed to protecting the information it receives in connection with its business. 

To achieve this commitment, Purple Carrot Ltd. will comply with the New Zealand Privacy Act (2020) and its amendments (the Act), and the Health Information Privacy Code 2020. This policy outlines how Purple Carrot Ltd. collects, uses and manages personal information about an individual from both internal and external. This privacy policy explains how we collect, use, disclose, store, and protect your personal information when you use our services. It also informs you of your rights and responsibilities regarding your personal information. 

By providing us with your personal information or using our services or website, you agree to the terms and conditions of this policy. If you do not agree with this policy, please do not provide us with your personal information or use our services. 

We may update this policy to reflect changes in our practices or the law. Changes will be visible here.

Personal Information

Purple Carrot Ltd. only collects personal information that is reasonably necessary to conduct the activities of our business. Generally, personal information will be collected when communicating with you and preparing and conducting a consultation or workshop. You acknowledge and agree that the personal information you provide to us will be accessed by or provided by you or your healthcare provider. This is provided by you to Purple Carrot Ltd. on a voluntary basis.

This Personal Information includes (but is not limited to):

  • Contact information (e.g. name, physical address, email address);
  • Demographic information (e.g. date of birth);
  • Health and medical history;
  • Details of services that you have purchased from us or which you have enquired about.  

By sending emails, you will be providing us with certain personal information which may include your name and contact details. This information is collected by us for the purpose of dealing with your request. We may not be able to deal with your request without collecting this information from you. 

When it is reasonable or practicable to do so, we will collect your personal information directly from you. For example we may collect information from you in the following ways

  • When you provide us with personal information by telephone, email, face-to-face, or video conference 
  • When you access our website 
  • When you complete a form
  • During conversations between you and referrers

Sharing and disclosure of Personal Information 

Purple Carrot Ltd. will generally use, collect, hold, or disclose your personal information for the purpose it was collected.

With the exception of disclosure to your healthcare provider and those involved in your care, we do not share, sell, trade, or otherwise disclose your Personal Information to any third party.

We will not disclose your Personal Information to third parties unless permitted by this Privacy Policy or where you have otherwise authorised us to do so, unless disclosure is required by law.

Protection of and access to Personal Information

Purple Carrot Ltd. will take reasonable steps to protect the security of the Personal Information that you provide to us or we collect from you. 

  • You are entitled to access any Personal Information that we may hold about you and we will provide it to you. 
  • You are entitled to request corrections to any Personal Information that we may hold about you.
  • To request access, correct, update, withdraw, or delete your Personal Information contact our team. 

Use and Storage of Personal Information

You agree that, to the extent permitted by law, the use and storage of Personal Information will be governed by the NZ law and that the courts will have jurisdiction in relation to any dispute or proceeding arising out of or in connection with Purple Carrot Ltd. use and storage or Personal Information. 

To the extent that your Personal Information consists of health information, it will be used and stored in compliance with the New Zealand Health Information Privacy Code 2020.

Client records are held securely within our software system for 10 years as required by the Health (Retention of Health Information) Regulations 2020. We will take reasonable steps to ensure that the Personal Information that we collect, use or disclose is accurate, complete, up-to-date and stored in a secure environment protected from unauthorised access, modification or disclosure.

  • To protect personal information from unauthorised access, use, or disclosure. It is securely stored by use of two-factor authentication.
